There is no single best AI writing tool for every business. There is a good fit for each job, and for the place you already write. Start with the job, then pick the tool.
Prices and features below are as of October 2026, from each vendor's own pages. Tools change fast, so check before you pay. The tools are grouped by job, in no particular order.
Start with three questions
- What do you write most? Emails, social posts, or longer documents such as proposals.
- Where do you write it? Gmail, Outlook, Word, Google Docs, Notion, or a mix.
- Who writes? Just you, or a team that must sound like one brand.
Your answers point to one of the groups below.
Emails and customer replies
Short, frequent, and written inside your inbox. The tool that saves the most time is the one already in the inbox.
- Gemini in Gmail. Comes with Google Workspace business plans from Business Starter at $7 per user a month (Workspace pricing). For personal accounts, it comes with Google AI Plus at $4.99 a month in the US (Gemini plans). Suits businesses on Google.
- Microsoft 365 Copilot. Works in Outlook and Word, and is sold as an add-on or bundle with Microsoft 365 business plans (Copilot for business). Suits businesses on Microsoft.
- Grammarly. Checks and rewrites as you type in Gmail, Outlook and other apps. Free plan, or Pro at $12 per member a month billed yearly (Grammarly plans). Suits people who write their own replies and want them polished. See Grammarly vs ChatGPT.
Replies that need facts, such as prices or delivery times, only come out right if the tool has those facts. A general assistant with your context file saved in a project is one simple way to give them.
Social posts and marketing copy
Here the hard part is sounding like you, every time.
- ChatGPT, Claude or Gemini. All three have free plans. With a voice file, any of them can draft posts in your style. Suits solo owners. The method is in how to make AI sound like you.
- Jasper. A marketing platform with brand voice, product facts and marketing agents built in. Pro is $69 per seat a month, or $59 billed yearly (Jasper pricing). Suits marketing teams. See Jasper AI vs ChatGPT.
- Copy.ai. A platform for sales and marketing teams, with brand voice and a store for company facts. The Chat plan is $29 a month for five seats (Copy.ai pricing). Suits a small team. See Copy.ai vs ChatGPT.
Proposals, guides and other documents
Longer pieces need a tool that can hold source files and let you revise one section at a time.
- Claude. Long pieces open beside the chat. You can highlight text to change it, and export to Word, PDF or Google Docs (artifacts). Pro is $20 a month (Claude pricing).
- ChatGPT. Long drafts appear in writing blocks you can edit and revise in parts (writing blocks). Plus is $20 a month (ChatGPT pricing).
- Gemini in Docs. Writes inside Google Docs. Comes with Workspace Business Standard at $14 per user a month (Workspace pricing), or Google AI Pro at $19.99 a month in the US for personal accounts (Gemini plans).
- Notion AI. Drafts and edits pages in your Notion workspace, using what is already there. Comes with Notion's Business plan at $20 per member a month (Notion pricing). See Notion AI vs ChatGPT.

Check the data settings
Before anyone pastes customer details into a tool, check whether it uses your data to train its models. Business plans of the big assistants generally do not by default. Personal plans often do unless you turn a setting off. Each comparison post above links to the vendor's own page. Then write it down for your team, using the AI policy template.
Test before you pay
- Pick your three most common writing jobs.
- Write one brief for each, with your business facts and voice rules at the top.
- Run them in two tools from the right group above, on free plans or trials.
- Count the edits each draft needs before you would send it.
- Choose the one that needs fewer edits and fits where you already write.
The brief matters as much as the tool. A tool that knows your business writes a usable draft. One that knows nothing writes generic copy. Here is how to give AI context about your business.
Nive is being built for this problem: you write how your business works and how you sound once, and each draft starts from those facts and is checked against your rules. Join the waitlist to get the demo first.
