Start with Gemini in Gmail. It comes with Google Workspace from $7 per user a month and does summaries, drafts and search inside your inbox. Move to a separate tool such as Superhuman, Fyxer or Shortwave only if email takes hours of your day. Whatever you pick, review every draft before it goes out. Prices are as of October 2026, in US dollars.
The short answer
- You use Google Workspace for your business: turn on Gemini in Gmail first. It is already in your plan from Business Starter.
- You want a faster inbox with AI drafts and sorting: test Superhuman or Shortwave.
- You want drafts prepared before you open the email, plus meeting notes: test Fyxer.
- You want to work on email inside a general assistant: Claude connects to Gmail and asks before it sends.
The options
Gemini in Gmail
Gemini can summarize long threads, draft new emails, refine your drafts, and find details such as flight times in old messages. It can also label, archive or star emails after you confirm (Gemini in Gmail help).
Gmail's Suggested Replies can match the tone and style of your past emails and pull in details from your inbox. Personalization works in English only and needs an eligible Workspace or Google AI plan (Suggested Replies help).
Price. Business Starter is $7 per user a month and Business Standard $14, on a yearly plan (Workspace pricing). Both include Gemini in Gmail. For a personal Gmail account, Google AI Plus is $4.99 a month and Google AI Pro $19.99 a month in the US (Google AI plans).
Limits. It only applies labels that already exist. It works inside Gmail, so it knows little about your business unless you tell it.
Superhuman
An email app that works on top of Google or Microsoft 365 accounts (Superhuman help). Its plans page lists AI features such as auto drafts, auto summaries, auto labels and writing that matches your voice and tone.
Price. Business, which includes Superhuman Mail, is $33 per member a month billed yearly, or $40 monthly (Superhuman plans).
Limits. You learn a new email app. It suits people who live in their inbox and like keyboard shortcuts.
Fyxer
Fyxer drafts replies in your tone and labels incoming email. It works with Gmail or Outlook and also takes meeting notes.
Price. Pro is $37 per user a month billed yearly, or $49 monthly. A free plan covers audio meeting notes only (Fyxer pricing).
Limits. The drafts sit in your inbox waiting for you. If you ignore them, they pile up.
Shortwave
An email app with an AI assistant, AI filters, summaries and writing that learns your style from the emails you send. It offers a 14-day free trial.
Price. The Shortwave pricing page lists Business at $30 per seat a month, Premier at $45 and Max at $120. The page does not say whether these are monthly or yearly rates, so check at checkout.
Limits. Like Superhuman, it replaces the Gmail screen you know.
Claude with the Gmail connector
Claude can search and read your Gmail, draft emails, and manage labels. By default it asks for your approval before it sends, replies or forwards (Claude help). Claude Pro is $20 a month, or $17 billed yearly (Claude pricing).
Limits. You work in a chat window, not in your inbox. Good for a batch of replies or a hard email, slower for quick triage.
Privacy: what to check
- Gemini. Google's Workspace privacy hub says your prompts and email content are not used to train generative AI models outside your domain without permission.
- Third-party apps. They need access to read and send your mail. Superhuman's help center notes that Workspace admins can block apps from full access. Read each vendor's security page before you connect.
- Claude. On Pro, model training is opt-out: turn off Help Improve our AI models in Settings, then Privacy (Anthropic privacy center).
- Client data. If you work under a confidentiality agreement or in a regulated field, check with your lawyer first. Rules differ by country.
How to keep emails sounding like you
AI drafts often sound polite and empty. The fix is rules, written once.
I hope this email finds you well. I wanted to reach out to follow up on our previous conversation regarding the proposal.
Hi Sam, did the proposal answer your questions? Happy to walk through the pricing on a 15-minute call this week.
Length: under 120 words for most replies.
Greeting: Hi [first name]. Never Dear.
Sign-off: [your sign-off], then my first name.
Always: one clear next step at the end. Dates as weekday and date.
Never: I hope this email finds you well. Just checking in. Exclamation marks. Promises about price or dates I did not give you.
Five emails I sent that sound like me: [paste].
Paste these rules into the tool's custom instructions, or into a Claude project. Then edit every draft for two weeks. Each time you fix the same thing twice, add a rule. There is more on this in make AI sound like you and why cold emails sound like a robot.
- I hope this email finds you well
- I wanted to reach out
- Just circling back
- Please do not hesitate to contact me
- I look forward to hearing from you at your earliest convenience
One rule for outreach
Use these tools for one-to-one email to people you chose. Do not use them to send in bulk. In the US, CAN-SPAM covers commercial email, including business to business. The FTC lists penalties of up to $53,088 per email that breaks the law (FTC guide). In the UK and EU, GDPR and PECR apply.
For more comparisons, see Gemini vs ChatGPT for writing and the best AI writing tool for business.
Nive is being built for this problem: you write how your business works and how you sound once, and it drafts emails in your voice for you to review and send. It never sends email itself and never sends in bulk. Join the waitlist to get the demo first.
