There is no single best help desk. The right one depends on how customers reach you, how many people answer them, and how much you want AI to do. Answer those questions first. Then the choice gets much smaller.
Do you need one yet?
A help desk is software that collects customer messages into one place so a team can assign, track and answer them. If you are one person getting a few emails a day, a normal inbox with saved replies may be enough. Start with good wording from customer service email templates.
You probably need one when:
- Messages get lost or answered twice.
- More than one person answers customers.
- You cannot see what a customer asked last time.
- The same ten questions come in every week.
Five questions to ask first
- Where do customers write to you? Email, website chat, WhatsApp, social media or phone.
- How many people will answer? Most tools charge per person.
- How many messages a month? Some tools price by conversations or contacts.
- Do you want AI to answer customers? It usually costs extra per answer.
- What do you already use? A CRM or shop platform can narrow the choice.

Watch the hidden limits
The price per person is only part of the cost. Check these before you decide:
- Contacts or conversations. Help Scout's free plan stops at 100 contacts a month. Tidio counts conversations your team replies to.
- Channels per plan. Zendesk adds chat at Suite Team. Front Starter allows one channel type.
- AI charges. Help Scout AI Answers is $0.75 per resolution. Intercom's Fin is $0.99 per outcome. Zendesk charges $1.50 to $2.00 per extra automated resolution.
- Monthly versus annual billing. Most prices above are for annual billing. Monthly costs more.
A simple way to choose
- Pick two tools from the list that match your channels and team size.
- Forward one week of real customer messages into both, using free plans or trials.
- Write your ten most common answers as saved replies in each. The guide to creating an FAQ page helps you find them.
- Choose the one you kept opening without being reminded.

Good tools still need good replies
A help desk makes sure no one is forgotten. The reply still decides how the customer feels. How to respond to a customer complaint and customer feedback survey questions help with what comes next.
Nive is being built for a nearby problem: you write how your business works once, and it drafts emails in your voice for you to review and send. It is not a help desk. Join the waitlist to get the demo first.
