For most small businesses, the best first step is a help desk tool at about $19 to $25 per agent a month. Add a part-time person or a freelancer who works in it. Agencies suit high volume, many channels or 24/7 cover. Whoever answers, a written guide and saved replies keep your voice and rules the same. Prices are as of October 2026, in US dollars.

The three options

A freelancer

One person, paid by the hour or a monthly retainer, working in your help desk. Good for steady, modest volume. You find, train and manage them. If they leave, you start again. See Fiverr vs Upwork for where to find one.

An agency

A company that staffs your inbox, chat or phone with its own trained agents. Good for high volume, several channels or cover around the clock. It handles shifts, holidays and quality checks. Most agencies price per agent per month or per hour and quote after a call. Ask about minimum hours, setup fees and notice periods.

A help desk plus a part-timer

You set up a help desk, write the answers once, and hire a part-timer to work through the queue. You keep control of the tools and the data. If the person changes, the system stays. This is the model most owners should try first.

What it costs

Help desk tools, per agent a month:

  • Zendesk Support Team: $19 billed yearly, or $25 billed monthly.
  • Freshdesk Growth: $19 billed yearly.
  • Help Scout Standard: $25 billed yearly. Its free plan covers a small team with limits.

People. The Bureau of Labor Statistics puts US median pay for customer service representatives at $21.53 an hour, or $44,770 a year, in May 2025. A part-timer at 20 hours a week at that rate costs about $1,870 a month in wages. Freelancer rates vary widely by country and skill.

Live chat services. Some answering services also staff website chat. Ruby, for example, lists chat plans from $143 a month for 10 chats to $520 a month for 50 chats. Bundles with phone answering cost less.

How to choose

  • Count your volume: tickets, chats and calls per week, and when they arrive.
  • List your channels. Email only is easy to outsource. Phone and chat need set hours.
  • Decide your reply time promise, such as within one business day.
  • If volume is under a part-time load and arrives in your hours, hire a part-timer or freelancer.
  • If you need nights, weekends or many channels, get agency quotes.
  • Keep the help desk account in your name in every case.

How to keep your voice and rules the same

The main risk in outsourced support is replies that sound like someone else and promise things you would not. Four short documents prevent most of it.

1. A one-page voice guide

How you greet, how formal you are, words you use and words you avoid. Two or three real replies you are proud of. The brand voice guidelines template gives you a format.

2. Saved replies

Write answers to your top 20 questions. Every help desk above supports saved replies. Start from customer service email templates and edit them into your own words.

Rule broken

Dear Valued Customer, we apologize for any inconvenience this may have caused. Your request has been escalated to the appropriate team.

Rule followed

Hi Sam, sorry about the late delivery. I have checked it: it ships tomorrow and you will get the tracking link by email. If it is not with you by Friday, reply here and I will refund the shipping.

3. Clear limits

What the team can decide alone, and what it must bring to you.

  • Refunds up to a set amount: approve. Above it: escalate.
  • Discounts and free extras: never without approval.
  • Legal threats, press and social media complaints: escalate at once.
  • Your biggest clients: always copy you in.
  • Product bugs: log them in one shared place.

4. An escalation note format

Escalation note

Customer: [name, company, plan] What happened: [two sentences] What they want: [refund / fix / call] What I already said: [paste the last reply] My suggestion: [what you would do] Deadline: [when they expect an answer]

A first-month plan for a new support person

  • Week 1: they read the voice guide and saved replies, then draft answers that you approve before sending.
  • Week 2: they send simple replies alone and draft the harder ones for you.
  • Week 3: they handle everything inside the limits and escalate the rest with the note format above.
  • Week 4: you review a sample, update the guide and agree on a reply time target.

Review a sample of replies each week for the first month. Fix the guide when you see the same mistake twice. Turn the process into a written SOP, and see how to delegate tasks for the handover itself.

Nive is being built for this problem: you write how your business works and how you sound once, and it drafts emails in your voice for you to review and send. It saves time on writing one-to-one replies. You still read and send each one yourself. Join the waitlist to get the demo first.

Questions people ask

How much does it cost to outsource customer service?

It depends on the model. A help desk costs about $19 to $25 per agent a month as of October 2026. A US part-timer at the median wage of $21.53 an hour costs about $1,870 a month for 20 hours a week, before taxes. Agencies usually quote after a call.

Can I outsource customer service and keep my brand voice?

Yes, if you write it down. Give the team a short voice guide, saved replies for common questions, clear limits on refunds and a rule for what to escalate to you.

Should I use an agency or a freelancer?

A freelancer suits steady, modest volume in your time zone. An agency suits high volume, several channels or 24/7 cover, since it handles shifts, sick days and quality checks.

What customer service tasks should I not outsource?

Keep angry high-value clients, legal threats, large refunds and anything that changes your pricing or policy. Have the team flag these to you with the full history.
