A content calendar turns 'what should I post today?' into a plan you made once, calmly, for the whole month.

A content calendar turns "what should I post today?" into a plan you made once, calmly, for the whole month. It is the difference between posting when you remember and posting every week.

What it includes

  • Date: when it goes out.
  • Channel: Instagram, LinkedIn, newsletter, blog.
  • Idea: the topic in one line.
  • Format: post, photo, short video, article, email.
  • Owner: who makes it.
  • Status: idea, drafted, ready, published.

A template

Content calendar: one line per piece

Date ______ Channel ______ Idea ______ Format ______ Owner ______ Status ______

Example: Tue 4 Nov, Instagram, "How we glaze a mug, in 3 steps", short video, Mira, drafted.

Example: Thu 6 Nov, LinkedIn, "The question every new client asks", text post, Omar, idea.

Example: Mon 10 Nov, Newsletter, "Three plants for forgetful owners", email, Hana, ready.

In a spreadsheet, put each field in its own column and each piece of content on its own row.

Fill a month in one sitting

  1. Pick your channels. One or two you can keep up. See small business marketing ideas.
  2. Set a rhythm. For example, two Instagram posts a week and one newsletter a month.
  3. Mark the dates that matter: launches, seasons, holidays, events.
  4. Fill the slots with ideas. Use a mix: teach, show, tell a story, and sometimes sell.
  5. Batch the work. Write or film several pieces in one session.

Where ideas come from

  • The questions customers ask most.
  • Behind the scenes of your work.
  • Customer results and stories, with permission.
  • What happened this week.
  • Your blog posts, turned into short posts.

There are ready lists in LinkedIn post ideas for a business and Instagram captions for small business.

Keep it realistic

A plan you can keep beats an ambitious one you abandon in three weeks. Start small. If you keep it up for two months, add more.

Review it weekly

Look at the calendar in your weekly review: what is coming, what is not ready. Once a month, look at what performed best, and plan more of that.

Reuse what works

A good blog post can become a newsletter, three social posts and a short video. Plan reuse into the calendar. It saves time and reaches people on different channels.

Questions people ask

What is a content calendar?

A simple plan of what you will publish, on which channel and on which date: posts, newsletters, blog articles and emails.

What should a content calendar include?

The date, the channel, the topic or idea, the format, who is responsible and the status. A link to the finished piece helps too.

How far ahead should I plan content?

A month is a good start for a small business. Plan the ideas a month ahead and write the pieces a week or two ahead.

What tool should I use for a content calendar?

A spreadsheet, a shared document or a simple board in a tool like Notion or Trello. The tool matters less than looking at it every week.
