Zoho Books costs less than QuickBooks at most plan levels and has a real free plan. QuickBooks offers payroll and accounting from the same company. Here is how they compare for a small business, and where FreshBooks fits if you are weighing that too.
The short verdict
- Pick Zoho Books if price matters, you want several users on a low plan, or you already use other Zoho apps.
- Pick QuickBooks if you want payroll and accounting from one company, or your accountant works in QuickBooks.
- Look at FreshBooks if you are a freelancer or service business who bills a few clients for time and projects.

The differences that matter
Cost for the same team
Compare like for like. Three users cost 20 dollars a month on Zoho Books Standard and 85 dollars on QuickBooks Essentials. Five users with inventory cost 50 dollars on Zoho Books Professional and 140 dollars on QuickBooks Plus. Those are list prices, before any discounts for new customers.
Free plans
The two free plans have different limits. Zoho Books Free allows 1,000 invoices a year and an accountant, but only while revenue stays under 50,000 dollars. QuickBooks Free does not list a revenue limit, but allows 2 invoices a month unless you use QuickBooks Payments, and no accountant access.
Payroll
QuickBooks sells US payroll bundled with accounting. The bundle with Simple Start is 88 dollars a month plus 6.50 dollars per employee. Zoho Books does not include payroll. Zoho Payroll is a separate app. Its US Standard plan is 39 dollars a month plus 6 dollars per employee when billed monthly, for single-state payroll. You can also pair either tool with a payroll provider such as Gusto. See QuickBooks vs Gusto.
Your accountant
If your accountant works in one tool every day, using the same one can save you time and fees. Zoho Books includes accountant access on every plan. QuickBooks includes it from Simple Start up, not on its Free plan.
Where FreshBooks fits
If you are also weighing FreshBooks, it starts at 23 US dollars a month for up to 5 billable clients, as of October 2026, with time tracking, estimates and recurring invoices in every plan. Accountant access, bank reconciliation and double-entry reports start on Plus, at 43 dollars for up to 50 clients.
FreshBooks limits clients. Zoho Books and QuickBooks limit users and invoices. If you have many small customers, that difference decides it. QuickBooks vs FreshBooks goes into more detail.
How to decide
- Count the people who need to log in, including your accountant.
- Check your yearly revenue against the Zoho Books Free limit.
- Decide whether you need payroll in the same place as your books.
- Check that the tool and its payments work in your country.
- Try your top choice for a month with real transactions.
Whichever you pick, keep a weekly routine like the one in bookkeeping basics. For more options, see QuickBooks alternatives for small business. Tax and record rules differ by country, so check with an accountant where you file.
