A good agenda turns a meeting from a chat into a decision. It takes five minutes to write and saves the whole team time. Without one, meetings drift and run long.
Give every meeting a goal
Before writing topics, write one line: what should be true when this meeting ends? "We agree on this week's priorities." "We decide whether to launch in November." If you cannot write it, you may not need the meeting.
A weekly team meeting template
Goal: Agree this week's priorities and clear anything blocking them.
- Wins from last week (5 min). One each, quickly.
- Last week's actions (5 min). Done, not done, why.
- This week's priorities (10 min). Each person names their top two.
- Problems and decisions (8 min). Only items added to the agenda in advance.
- Actions and next meeting (2 min). Read back who does what by when.
Rules that keep meetings short
- Send the agenda a day before, and let people add topics.
- Put a time next to each topic.
- Start on time, even if someone is late.
- Move long discussions to a separate, smaller meeting.
- End with actions read back aloud.
Agenda ideas for different meetings
- Weekly team meeting: wins, priorities, blockers, decisions.
- Monthly review: results against goals, what worked, what to stop, next month's focus.
- Project kickoff: goal, scope, roles, timeline, risks, first actions.
- Planning meeting: options, criteria for choosing, decision, owner.
Write topics as questions
A topic written as a question tells people what the meeting needs from them.
Pricing
Should we raise the starter package price from January? Decision needed.
Give the meeting roles
Even in a team of three, roles help.
- A lead keeps to the agenda and the time.
- A note-taker writes down decisions and actions.
- Everyone else comes prepared on their own topics.
Rotate the roles every few weeks, so the meeting does not depend on one person.
Online meetings
The same agenda works on a video call, with two additions. Put the agenda in the meeting invite, so people can see it while they talk. And ask each person to speak in turn on the priorities round, since people interrupt less when the order is clear.
Not every update needs a meeting
Status updates can often be written instead: a short note each Monday. Save meeting time for problems, decisions and things that need a conversation.
After the meeting
Send short notes the same day, with decisions and actions. There is a template in how to write meeting notes. Start next week's agenda with the actions from this one.
A personal version of this works for business owners on their own too. See the weekly review template.
