The short verdict
Pick Pipedrive if your day is about moving deals forward, and you want the pipeline to be the main screen.
Pick Zoho CRM if you want to start for free with up to three users, or you want more plan levels and other Zoho apps to grow into.

What the free plan or trial covers
Zoho CRM's free edition (free edition page) is free for up to three users, with no end date. It includes contact management, follow-up reminders, workflow automation, custom email templates, data import and export, standard reports and mobile apps. Zoho's pricing page lists limits of 10 custom email templates and 10 data exports. Paid editions have a 15-day trial.
Pipedrive has no free plan. Each plan has a 14-day trial with full access and no card needed.
Email and automation by plan
This is where the entry plans differ most.
- Pipedrive Lite covers leads, deals, contacts, calendar and pipeline management, AI report creation and over 500 integrations. Full email sync with tracking, automations and follow-up sequences start on Growth.
- Zoho CRM Standard lists email integration and mass emails, Gmail and Outlook integration, multiple sales pipelines, web forms and sales forecasting. Workflow automation is already in the free edition.
If you need email sync and some automation at the lowest paid price, Zoho CRM Standard includes more of it. If you are happy to pay for Growth, Pipedrive's email sync and sequences are built around the deal.
Setup effort
Pipedrive is focused on the pipeline, so there are fewer areas to set up at the start. Pipedrive says implementation is free on plans that cost over $400 a year.
Zoho CRM has more editions, modules and add-ons. That gives you more to configure, and more ways to shape the tool to your process. Plan a little more time to choose settings.
What grows with you
Pipedrive grows from Lite to Ultimate. Premium adds lead capture and routing, contracts with e-signatures, and more control over fields and permissions. Ultimate adds account security rules, data enrichment and a sandbox account. Add-ons such as Campaigns for email marketing and Projects are sold separately.
Zoho CRM grows through five editions, from Free to Ultimate. Zoho also sells many other business apps, so you can add more tools from the same company later.

Set it up around how you sell
Either tool works better when your stages match how deals really move. Write your stages down first: first contact, call booked, proposal sent, won or lost. Then name them the same way in the CRM. The business proposal guide and the sales email guide cover the steps in between.
