A clear invoice gets paid faster. Most late payments start with an invoice that was confusing, incomplete or sent late. Fix those three things and many payment problems disappear.
What every invoice includes
- The word 'Invoice' and a unique invoice number.
- The invoice date and the due date.
- Your business name, address and contact details.
- The customer's name and address.
- What you supplied, line by line, with quantities and prices.
- Subtotal, any tax and the total.
- How to pay: bank details or a payment link.
Tax rules differ by country. Some require your tax or VAT number, the tax rate on each line, or other details. Check the rules where you trade, or ask your accountant once.

Describe the work clearly
Vague lines cause questions, and questions delay payment. "Design work, 600" invites a reply asking what it covers. "Menu design, 2 pages, as agreed on 2 October" does not.
Match the descriptions to your quote or proposal, so the customer recognises what they agreed to.
Make paying easy
- Put the total and due date where they are easy to see.
- Give a payment link, or full bank details.
- Ask them to use the invoice number as the payment reference.
- Use clear payment terms, such as 14 days.
Send it well
Send the invoice the day the work is done, as a PDF, with a short, friendly email.
Hi Ana,
Thanks again for the menu project. Invoice 2026-014 for 680 dollars is attached, due on 29 October. You can pay by card at the link in the invoice.
Mistakes that delay payment
- Sending it weeks after the work.
- Missing the customer's reference or purchase order number, when they gave you one.
- Wrong amounts or details, so the invoice has to be redone.
- No due date.
If payment is still late, use a polite schedule of invoice reminder emails. And record every invoice in your bookkeeping, so you always know who owes what.
