How to reply to a negative review, even one that is not true

Your reply to a bad review is read by every future customer who finds it. Write it for them.

Your reply to a bad review is read by every future customer who finds it. You are not trying to win the argument. You are showing strangers how you treat people when something goes wrong.

Before you reply

Wait an hour. A reply written while you are angry will be read by people long after you have calmed down.

Then check the facts. Find the order, the booking or the date. Ask whoever was there what happened. You want to reply to what happened, not to how the review made you feel.

Reply to a fair review

If the review is right, the reply is simple. Say thank you, own it, say what you changed and offer a direct contact.

Reply to a fair complaint

Thank you for telling us, Leila. You waited 40 minutes past your booking, and nobody told you why. That should not happen. We have changed how we handle delays: you now get a text if we are running late. I would like to make it up to you. Please write to me at the address on our website.

Keep it to a few sentences. Use their name if the platform shows it. Do not paste the same reply under every review. People notice.

Reply to an unfair or harsh review

Some reviews mix a real problem with exaggeration. Answer the real part and leave the rest.

Reply to a harsh review

Thanks for the feedback, Tom. You are right that the delivery came a day late, and I am sorry about that. The item itself was checked before it left. If anything is wrong with it, write to me directly and I will sort it out.

You corrected one point without calling them a liar. Readers can see both sides.

Reply to a review that is not true

If you have no record of the person, say so plainly and invite contact. Do not accuse.

Reply when you cannot find the customer

We take every review seriously, but we cannot find a booking under this name or on this date. If we got something wrong, we want to fix it. Please contact us directly so we can look into it.

If the review breaks the platform's rules, report it as well. Google and most other platforms remove reviews that are fake, abusive or about a different business. Reporting does not guarantee removal, so reply calmly in either case.

What not to do

Lines to cut today
  • You obviously did not read the description
  • This never happened
  • We have hundreds of happy customers
  • Sorry you feel that way
  • Do not argue. Even if you win, you look worse to everyone reading.
  • Do not share private details. No order contents, addresses or health information in a public reply.
  • Do not offer money for a changed review. Most platforms ban it. Fix the problem, then ask if they would update their review.

Turn reviews into fixes

Read your bad reviews once a month as a list. If the same problem shows up three times, it is not bad luck. It is your next thing to fix.

The same goes for complaints that come by email. Write down your usual replies and what you are allowed to offer, so a stressful review does not get a rushed answer. A short voice guide helps you sound the same every time.

Questions people ask

Should I reply to every negative review?

Yes, when it is about a real experience. A calm reply shows future customers how you treat people when things go wrong.

How do I respond to a negative review that is not true?

Stay calm and stick to facts. Say you have no record of the visit or order, invite them to contact you directly, and report it if it breaks the platform's rules.

Can I ask a customer to remove a bad review?

You can fix the problem and ask if they would update it. Never offer money or a discount in exchange. Most platforms forbid it.

How long should a reply to a review be?

Two to four sentences. Long replies look defensive. Say thank you, own what went wrong, say what changed and offer a direct contact.
